1. Who we are

Platinum Breeds Worldwide (“we”, “us”, “our”) is a business registered and trading in the United Kingdom. We operate platinumbreedsworldwide.co.uk and are the data controller for personal data we collect through the Site, our shop, The Manor private bidding pool, Horses For Sale listings, memberships and concierge services.

2. The data we collect

  • Account & profile data — display name, email, hashed password, marketing preferences and any profile fields you provide.
  • Order & checkout data — billing and shipping address, phone number, the items ordered, order value, currency, delivery preferences. Card details are entered directly into our payment provider and are never stored on our servers.
  • Membership & subscription data — the plan you hold, start and renewal dates, payment status and Stripe customer identifier.
  • Auction & bidding data — lots viewed, bids placed (including auto-bid maximums), display name shown to other bidders, won lots and the resulting bill of sale.
  • Horses For Sale enquiries — the listing you enquired about, your message, contact details and any PPE arrangements.
  • Newsletter — the email address you submit and your subscribe/unsubscribe history.
  • Concierge & support correspondence — emails and WhatsApp messages you send us, plus our replies.
  • Wishlist, saved items & cart — the products and looks you save, kept against your account or in your browser’s local storage.
  • AI shopper chat — the messages you send to our shopper assistant, used to generate responses and improve the service.
  • Device & usage data — IP address, browser type, pages viewed, referring URL, approximate location, and similar technical data captured in logs and (where you consent) analytics cookies.

3. How we use your data and our legal bases (UK GDPR)

  • To take and fulfil orders — processing, shipping, returns, refunds and customer service. Legal basis: performance of a contract.
  • To run memberships and recurring billing — legal basis: performance of a contract.
  • To operate The Manor & Horses For Sale — verifying bidders, accepting bids, contacting winners, facilitating bills of sale. Legal basis: performance of a contract and our legitimate interest in maintaining a trustworthy private marketplace.
  • To send transactional emails — order confirmations, shipping updates, password resets, bid notifications, receipts. Legal basis: performance of a contract.
  • To send marketing — newsletters, collection launches, members’ previews. Legal basis: consent, which you can withdraw at any time.
  • To detect fraud & protect bidding integrity — legal basis: legitimate interest and legal obligation.
  • To improve the Site and our services (analytics, error monitoring) — legal basis: legitimate interest, balanced against your privacy and subject to cookie consent where required.
  • To meet legal, tax and accounting obligations — legal basis: legal obligation.

4. Who we share your data with (processors)

We share personal data only with the trusted providers needed to run the Site. They act as our processors under written contracts and may not use your data for their own purposes:

  • Backend & database hosting (authentication, account data, bid records).
  • Checkout & order processor (our store partner), including for shipping and fulfilment.
  • Payment provider for card payments, memberships and refunds.
  • Transactional & marketing email provider.
  • Couriers — DHL, FedEx, UPS and partner logistics for delivery.
  • AI gateway powering our shopper chat and outfit suggestions.
  • Analytics & error monitoring, where you have consented to non-essential cookies.
  • Professional advisers (accountants, lawyers) and authorities where required by law.

If we are ever involved in a merger, acquisition or sale of assets, personal data may be transferred as part of that transaction, subject to the same protections set out here.

5. International transfers

Some of our processors are located outside the UK. Where data is transferred outside the UK or EEA we rely on appropriate safeguards, such as the UK’s International Data Transfer Agreement, the EU Standard Contractual Clauses with the UK addendum, or an adequacy decision recognised by the UK.

6. How long we keep your data

  • Account data: while your account is active, then up to 24 months after closure unless we need to keep it longer for legal reasons.
  • Order & tax records: at least 6 years to meet UK accounting and tax obligations.
  • Auction & bill-of-sale records: at least 6 years from the date of sale.
  • Marketing data: until you unsubscribe or we have not heard from you for 24 months.
  • Support correspondence: up to 3 years from the last contact.
  • Server logs & analytics: typically up to 12 months.

7. Your rights

Under UK GDPR and the Data Protection Act 2018 you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data corrected;
  • have data erased (the “right to be forgotten”) where applicable;
  • restrict or object to processing based on legitimate interests;
  • portability of data you have provided to us;
  • withdraw consent to marketing at any time;
  • not be subject to decisions based solely on automated processing that produce legal effects (we do not carry out such automated decision-making).

8. Security

We protect your data with industry-standard measures: HTTPS encryption in transit, encrypted databases at rest, hashed passwords, row-level access controls, server-side validation of bids and payments, and signed webhooks from our payment and store providers. No system is 100% secure, but we work to limit and contain any incident and will notify you and the ICO where required by law.

9. Cookies & similar technologies

We use a small number of strictly necessary cookies and local-storage entries to keep you signed in, remember your bag and wishlist, and protect bidding. With your consent we may also use analytics and marketing cookies. See our Cookie Policy for details and to change your preferences.

10. Children

The Site is intended for adults aged 18 and over. We do not knowingly collect data from children. If you believe a child has provided us with personal data, please contact us and we will delete it.

11. Changes to this policy

We may update this policy from time to time. Material changes will be flagged at the top of this page; the “Last updated” date always reflects the current version.
